Don't buy a new tool yet. Write down the steps.

Shop Notes cover: Don't buy a new tool yet. Write down the steps.

Most teams I talk to don't need a new app.

They need someone to write down how the work really moves. Who does what. Where it waits. Which spreadsheet nobody mentions.

That part is boring. It's also the part that makes everything after it work.

The build: South End Exchange

South End Exchange is a furniture store in Charlotte. When a big item sold, delivery took phone calls. Someone had to work out the quote and find a driver, for every sale.

We didn't start with software. We started by mapping how the store quoted and handed off deliveries, step by step, the way it really happened. We didn't change anything until that map was done.

Then we connected the store to Moovr, the large-item delivery platform where I'm the build lead. Now the delivery request gets made right at the sale, not over the phone.

South End Exchange was the first partner store on Moovr. That setup became the template for the stores after it, like Oak Island Exchange.

Try this week

  1. Pick one job that keeps going wrong.
  2. Open a Google Doc, or a monday.com board you already have.
  3. Write one line per step: who does it, what tool they use, and where it waits.
  4. Circle the waits. That's where the time goes.
  5. If you automate a step later, put a person in front of anything that goes to a customer. A person says yes, then it sends.

What changed in your tools

monday.com. You can now build your own agent in Make and plug it into monday.com. People can chat with it, @mention it on an item, or assign it work, like a teammate. It's in beta. monday.com's AI Workflows can also stop and ask a person to approve before they go on. If you're new to this, start with the approval step.

Google Workspace. Meeting recaps are coming to Google Chat. If "Take notes for me" is on during a Meet call, Chat posts a summary, the decisions, and action items with owners in that meeting's chat. It's for Business Standard and Plus, Enterprise Standard and Plus, and Frontline Plus. Read the action items before you trust them, and make sure each one has a real owner.

One ask

If a job keeps breaking on your team, send me the steps the way they are now: cbandcoop.com/contact. I'll tell you straight if it's worth fixing.

South End Exchange and I still work together. Same people, next problem. That's how I like it.
